7 Steps to Get Started with Kobbr

In this article, we share tips and tricks for getting started with Kobbr. We'll walk you through the most important settings you should configure the first time, so that you're ready to send professional quotes as quickly as possible.

This guide has been specially created for those of you who have just gained access to the platform or become a Kobbr customer. No prior knowledge is required , just a bit of time and the willingness to build a system that lasts.

To get started, you can log in to Kobbr. This article is also available as a video, which you can watch here.

Step 1: Company Information

Go to Settings → Company Information and do the following:

  • Check the company name. This is the name that appears on your quotes.
  • Adjust the SMS sender name. This is the name your customer sees when they receive an SMS from you. Please note that the SMS name can be a maximum of 11 characters and may only contain letters (A–Z), numbers, and spaces — these are international SMS regulations.
  • Select the language for customer quotes. In Norwegian, you can choose between Bokmål and Nynorsk.
  • If applicable, select a preferred supplier. This supplier will automatically appear as the default when you select products in your quotes.
  • Set the standard hourly rate for labour. This is the hourly rate used as a starting point when building your products.

Step 2: Default Quote Settings

Under Settings → Default Quote Settings, you can specify what should automatically apply to all new quotes. This will save you a great deal of manual work going forward.

Here you can, amongst other things:

  • Choose whether quotes should be set as an estimate by default
  • Choose to display only the total sum (without price details for each line item)
  • Set the validity period for quotes
  • Attach standard disclaimers — for example, a link to a website or a PDF containing terms and conditions. These will then automatically be included with every single quote, regardless of who in the company sends it.
  • Adjust the default introductory text at the top of the quote
  • Adjust the message text that is sent out together with the quote

💡 Tip: Enter your disclaimers here once, and your engineers, plumbers, and carpenters won't have to think about it when they're out in the field.

Step 3: Chat and Messages

Under "Chat and Messages" you can customise how you communicate with your customers:

  • Edit the default message sent in the chat when a quote is delivered — make it shorter, longer, or more personal.
  • Set the expected response time.
  • Add a follow-up contact who will be notified if a customer sends a message and receives no reply. This is particularly useful if someone in the team is off sick or otherwise unavailable.

Step 4: Suppliers and Price Files

Please skip to Step 5 if you do not use price files from a supplier.

Under "Suppliers and Price Files" you can import updated prices in two ways:

Method 1: FTP Server

Large suppliers and wholesalers have an FTP server where price files are updated on an ongoing basis. Kobbr can connect to this and keep your prices updated automatically. You will need:

  • The supplier name
  • A username and password for the FTP server
  • The URL of the FTP server

Enter these details and Kobbr will retrieve your prices and keep them up to date going forward.

Method 2: Send the Price File Directly

Many suppliers offer a simple price file (Excel/CSV). Send it to your Kobbr account manager or to Kobbr directly, and it will be added on your behalf. No problem at all.

Step 5: Users and Roles

Under "Users and Roles" you can add everyone in the company who will be using Kobbr, whether to create quotes or simply to monitor the status of jobs.

  • Click "Add New User", select a role, and grant access.
  • You can easily customise roles and decide what each user can view, do, and send.

💡 Tip for juniors and apprentices: Set the role so that quotes are not sent directly to the customer, but instead go through "internal review" first. This allows a more experienced team member to read through and approve the quote on behalf of the employee — a safe and reassuring way to get younger colleagues up and running.

Step 6: Customise the Quote Appearance

Open a quote and see how it looks from the customer's perspective. Here you can customise:

  • The banner image at the top of the quote
  • The background colour
  • The image at the bottom of the quote
  • The "About Us" text with a company description
  • Contact information and address

Get in touch with the Kobbr team and they will help you swap out images and tailor the design so that you come across as professionally as possible to your customers.

Step 7: Build Your Library

The final step is to set up your library, which is the heart of Kobbr and makes it incredibly easy for your colleagues to put together quotes quickly.

Make sure you have:

  • Products added with the correct prices
  • Suppliers linked (where applicable)
  • Disclaimers saved and ready to use

As for packages, think of these as ready-made quote templates for different rooms or job types. When an engineer is out at a customer's premises, they can simply select a package and customise it rather than starting from scratch.

💡 Tip: If you are the person responsible for Kobbr internally, take some time to build the library up properly. It will make the day-to-day work of all your colleagues considerably easier.
